- Access the Sales Orders Screen: Navigate to the Sales Orders section from the main dashboard.
- Adjust Filters and Click Search: Refine the search criteria to find the specific sales order you need.
- Select the Sales Order: Click on the desired sales order.
- Open Order Line Rapid Entry: On the Action Bar, click “Order Line Rapid Entry.”
Once in the Order Line Entries screen, select “Recalculate Available Inventory” on the Action Bar. The quantity column will change color to indicate inventory status:
- Green: Finished goods are available.
- Yellow: Some inventory is available, but not all is at the finished goods operation.
- Red: Not enough inventory is available to fulfill the entire order line.

Option 1: Inventory Display for Single Line Order Entry
This option provides an inventory grid at the bottom of the line item form and includes:
- Building Information: Indicates the specific building associated with the inventory.
- On-Hand Inventory: Displays the actual stock available for the part number being ordered.
- Committed Inventory: Shows the total quantity of order lines for the part number within that building.
Additional criteria to consider:
- Only includes active orders (not on hold or in quote status).
- By default, excludes on-hand inventory linked to jobs, unless the setting ‘order line inventory display from job include’ is enabled.
Make sure to enable the settings 'building picker display in order line entry' and 'inventory display in order line entry' for optimal functionality.
Option 2: Order Line Rapid Entry Color-Coded Display
For a more efficient approach, use the Order Line Rapid Entry screen, which provides a color-coded inventory status without displaying a grid. Clicking the quantity hyperlink under the order quantity leads to a detailed inventory screen.
Color Coding Logic:
