How to configure Watermarks on Plex Purchase Order Printouts/Emails

Overview

You can now display a configurable watermark on Purchase Order (PO) printouts based on the PO’s current status. Watermarks provide a clear visual distinction between draft or in-progress documents and finalized orders, while keeping PO details legible.

Business case

Purchase Orders are often printed or shared during review, approval, and staging. Without a clear status indicator, an unfinalized PO can be mistaken for an approved, official order. This can lead to confusion, inconsistent processes, and potential compliance issues.

Status-based watermarks help teams identify documents that are still under review and distinguish test-environment documents from production documents. This supports safer document handling and more consistent procurement workflows.

Problem this enhancement solves

Previously, a printed PO might not clearly show that it was still a draft, pending approval, or otherwise not final. A test-environment PO could also be confused with a production document. The configurable watermark makes the document’s status or environment visible at a glance, reducing the risk of using or distributing an unfinalized or test document as an official order.

Availability and access

The enhancement is available now in both test and production environments. Anyone with access to the Purchase Order module can view PO printouts with watermarks. To configure the feature, you must have access to the PO Status setup table.

How watermarks work

Two fields in the PO Status setup table control the watermark text:

  • Watermark — Text shown on printouts in the production environment.
  • Test Database Watermark — Text shown on printouts in the test environment. In test environments, this field takes precedence.

The watermark appears diagonally across every page in a semi-transparent format, keeping PO details readable. If no text is configured for a particular status, no watermark appears for POs in that status. This allows completed POs to print without a watermark, for example.

Watermarks apply to standard PO print formats: PDF and Browser Print.

Configure a watermark

An administrator can configure a watermark for one or more PO statuses:

  1. Open the PO Status setup table.
  2. Locate the status or statuses that should display a watermark, such as Planned, Draft, or Pending Approval.
  3. Enter the desired text in Watermark, Test Database Watermark, or both.
  4. Save the changes.

The configured watermark will then appear on standard printouts for POs with the selected status.
